A lot of people (maybe you included) use Gmail like a giant catch-all mailbox – business email, website email, personal email, old accounts you forgot about – everything flowed into one cozy lil’ Gmail inbox. Simple. Convenient. One place to rule them all.
But that was too easy – gmail is going to make this much more difficult on small business owners like us.
Recent changes from Google mean Gmail will no longer act like a central hub for multiple email accounts. If you were relying on Gmail to collect all your different addresses into one inbox, you may start noticing things don’t work quite like they used to.
For some users, it already has. Google is rolling this change out gradually rather than flipping a single switch, so there isn’t one dramatic “shutdown day.” Instead, external accounts may quietly stop updating, stop syncing properly, or stop coming in at all.
If your setup depends on Gmail pulling in other mailboxes, it’s best to assume the clock is already ticking and plan accordingly.
Here’s the non-technical version: Gmail is still great for Gmail. But it’s no longer the best tool for managing several real email accounts from different places.
You’re going to want to set up and use a real email app that connects directly to your accounts.
If you use Apple devices, Apple Mail works great and is already built in, or if you have a Microsoft 365 subscription, Outlook is also a good option.
If you’re on Windows, Microsoft Outlook remains the most reliable choice for business and multi-account email.
If you want a solid free option, Edison Mail works well on both Windows and Android. Android users who prefer a more privacy-focused, no-nonsense tool can also look at FairEmail.
Gmail isn’t going away, but the “one inbox for everything” era is done.
